Registration/Attendance and Collection
On arrival at Spanish Club we will register your child. If for any reason your child is not going to be at Spanish Club on an arranged day, please inform Pippa Chia on 07971 213619 as soon as possible. Term time dates, days and times that each club runs as well as collection points for after school clubs can be found under the parents area of my website and on the enrolment system. Your child is only permitted to leave the club with the ‘named contacts’ (as disclosed by you on the enrolment form). If there is any other person who is authorised to collect your child, you will need to inform Pippa Chia in writing as they will not be permitted to leave until we have made contact with you or one of the ‘named contacts’. No child under the age of 16 is permitted to collect your child unless we have written permission from you, the parents. Your child must be collected by the finishing time of Spanish Club (this may vary depending on the school). Persistent lateness may result in your child losing their place at Spanish Club. Persistent lateness is deemed as 3 times during a half-term. If you have not made any contact with Spanish Club and your child is not collected within half an hour of closing, then the Spanish Club Leader will make contact with you, and if necessary, the relevant school.
Behaviour expectations
Your child is expected to behave in the way they would in school and therefore if there is any unacceptable behaviour the Spanish Club Lead will be made aware of this and will follow this up with the parent or appropriate adult. As much as we do our best to ensure all children have a positive and enoyable language learning experience, on occasions it may be necessary to ask the parent to stop their child attending Spanish club. However this is a last resort and the tutor will have communicated with the parent before to try and avoid this situation.
Stopping Sessions
If, at any stage, you do not intend to continue with any PRIVATE TUITION we require one month's notice and confirmation of the date of the change in writing (email is acceptable).
If you have signed your child up for SPANISH CLUB, please be aware that you are committing to a full term of Spanish. No refunds will be given during the term.
Change of Teacher
Due to Spanish tuition demands changing, we reserve the right to arrange for another tutor to run the Spanish Club and/or private tuition. Where possible we will give you prior notice.
Cancelling Sessions
In the event that Spanish Club/private tuition is unable to go ahead due to tutor sickness, we will do our best to try and arrange cover. In the event that this is not possible, we will reimburse and/or credit you for the session. If the school closes for reasons such as COVID, or any other circumstances outside of our control, such as a school trip, we will not reimburse/credit you for the session.
Private tuition only - If you need to cancel a session we require at least 48 hours notice and will endevour where possible to re arrange the session. Where this is not possible, or you have not given us the minimum notice, no refund will be given for the missed lesson.
Fees
Club fees must be paid through the the online booking system at www.spanish4kids.co.uk in advance of the sessions. Private tuition fees will be requested via an invoice sent to you directly. For private tuition, fees will be asked for at least one week in advance of the following month (i.e. for payment in May for June).
Spanish club payment is by monthly subscription and is payable throughout the year although monthly fees are averaged out over the term time (Spanish4Kids run Spanish club for up to 39 weeks of the year). Your payment plan covers you for all classes, and the expectation is that there is a term's commitment.
Any fees not paid by the due date will incur a £5 per week late payment fee and non-payment of fees may result in you/your child losing their place in Spanish club/private tuition.
Absence of the student due to term time holidays or sickness will still incur the normal charge for a session.
Referral scheme
If you wish to refer someone, please send an email detailing the details of the person you are referring. We will write to you acknowleging that this person has signed up to Spanish with us, and after one month of them starting, we will pay you a £5 referral fee directly to your bank account.
Complaints
Should you have a complaint about our Clubs, or a tutor, please inform Pippa Chia in the first instance.
